2. Acceptance of Services
A project is considered accepted once the client has:
- Accepted a quotation or proposal;
- Confirmed acceptance in writing (including email); or
- Paid the required project deposit.
3. Quotations
- All quotations remain valid for 30 days unless otherwise stated.
- Prices are exclusive of VAT where applicable.
- Any services outside the agreed quotation may be charged separately.
4. Payment Terms
Unless otherwise agreed in writing:
- 50% of the total project value is payable before work commences.
- The remaining 50% is payable upon project completion and prior to final delivery, launch or transfer of ownership.
For larger projects, Digi Manta may agree to milestone payments.
Late payments may result in suspension of work until payment has been received.
5. Project Deposits
The initial deposit secures your project within our production schedule and covers project planning, research, consultation and resource allocation.
As work begins immediately after confirmation, all deposits are non-refundable once work has commenced.
6. Cancellation & Refund Policy
Clients may cancel a project at any time by providing written notice.
However:
- Deposits are non-refundable once work has commenced.
- Payments already made cover work completed up to the cancellation date.
- If work completed exceeds the value of the deposit, Digi Manta reserves the right to invoice the remaining balance for services already performed.
Due to the customised nature of our services, Digi Manta does not provide refunds where a client:
- Changes their mind;
- Decides not to proceed after work has started;
- Delays or abandons the project;
- Chooses to work with another supplier after project commencement.
7. Client Responsibilities
The client agrees to:
- Provide accurate information;
- Supply all requested content, branding assets and materials;
- Review deliverables promptly;
- Provide approvals and feedback within a reasonable timeframe.
Any delay in receiving required information may affect the project timeline.
8. Client Delays
If requested information, approvals or feedback are not received within a reasonable period, Digi Manta reserves the right to:
- Suspend work;
- Extend project deadlines accordingly;
- Reallocate the project within our production schedule.
Project delivery dates will automatically be extended by the duration of any client-related delay.
9. Inactive Projects
Projects that remain inactive due to missing client communication, approvals or materials for more than 30 consecutive days may be placed on hold.
Projects inactive for 90 consecutive days may be considered closed.
If the client wishes to resume work after this period, Digi Manta reserves the right to:
- Re-quote the remaining work;
- Apply a project reactivation fee; and/or
- Schedule the project according to current availability.
10. Project Scope
The quotation or proposal defines the agreed scope of work.
Any additional work requested outside the agreed scope may require a revised quotation.
Examples include:
- Additional pages
- Additional functionality
- Additional design concepts
- Additional content creation
- New photography or videography
- Additional integrations
- Strategy sessions outside the agreed scope
- Additional revisions
11. Revisions
Unless otherwise specified in the project proposal or quotation, each project includes two rounds of minor revisions at no additional cost.
Minor revisions are limited to small adjustments that do not alter the previously approved concept, structure or layout, including:
- Text changes
- Colour adjustments
- Minor spacing or alignment
- Image replacements
- Small design refinements
The following are not considered minor revisions and may incur additional charges:
- Changes to the approved layout or design direction
- Major redesigns
- New pages or sections
- New functionality
- Additional integrations
- New content outside the original scope
- Changes requested after final approval
Revision requests should be submitted as one consolidated list for each revision round.
Any revisions requested after the included two rounds, or revisions outside the agreed project scope, will be quoted separately.
Requests that significantly alter the approved design concept, structure, user experience or functionality shall be treated as a change of scope rather than a revision.
12. Approval of Deliverables
Once a client has approved a design, strategy, website, campaign or other deliverable, that approval is considered final.
Subsequent changes requested after approval may incur additional charges.
13. Website Content
Unless otherwise agreed, the client is responsible for supplying all website content, including:
- Text
- Images
- Videos
- Branding assets
- Legal documentation
- Product information
Where Digi Manta has been engaged to provide copywriting, photography, videography or other creative services, these will only be included where specified within the quotation.
14. Launch & Handover
Final website files, login credentials, source files, automation systems or ownership transfers will only be provided once all outstanding invoices have been paid in full.
